Job Summary: The overall purpose of this job is to provide executive support for the Vice President of Student Affairs, and the Student Affairs staff, as we work together to meet students’ needs.&nbsp; The Student Affairs Division includes Enrollment Services (Admissions, Records, Communication Center, Entrance Testing, Recruitment, Financial Aid), Student Services (Advising, Counseling, Disability Services, &nbsp;Career Services, Veterans Services, TRIO), New Student Orientation, , site campus administration, Student Conduct, Student Life, leave reporting, event planning and room reservations, and the organization, planning and execution of the college’s graduation ceremonies (twice yearly).
Essential Functions:
40% Perform and execute administrative duties for Student Affairs. These duties include: processing payroll, including leave forms and leave reports; processing electronic purchase requisitions; scheduling meetings and events; taking minutes from meetings; tracking and refilling inventory; scanning and filing documents; responding to inquiries on the phone, via email and in person; schedule room reservations for departmental meetings/trainings/interviews, etc., process petty cash reimbursements, process travel requests, book flights and process travel claims; coordinate yearly revisions to the online college catalog,&nbsp; preparing reports and documents using Microsoft Office products; running reports in Argos; order business cards and name tabs for Student Affairs employees; order PSCC apparel for student ambassadors, process catering requests, maintain employee contact information for division. Schedule student meetings, complete background checks for the federal government.
40% Assist with complex planning and coordination to carry out special projects/events such as Graduation Ceremonies, staff retreats and other events.&nbsp; This planning and assistance includes, but is not limited to the following functions: researching potential venues and contacting venue managers to reserve facilities; processing electronic work orders for set-up; editing the event program; reserving caterers for the events; processing contract payments for venue and caterers; communicating with vendors, such as photographers, regarding event needs; organizing and training volunteers; update the website each semester , communicating via email, telephone and in person with students, family members, and faculty and staff regarding event details.
10% Communicate with students, parents, faculty and staff, and the public via telephone and email regarding college and departmental policies and procedures.
10% Facilitate large departmental mailings. Work with Marketing and Communications, and outside vendors to create and distribute communiques.

When preparing the Commencement Ceremony Program, potential errors could occur this could impact the flow of the ceremony (i.e., wrong order, students listed under the wrong majors, etc.).
Budget: Must be able to track expenditures and run reports on budget variances.
Judgement &amp; Decisions: This position requires some anticipation of the needs of the Vice President.
The following decisions are made independently: manage office and set-up for efficiency; technology needs for departmental fluidity; maintain and purchase inventory as needed.

Licensed counselors provide thorough assessment and diagnosis of mental health issues, including those related to stress, and provide expert treatment and available resources. &nbsp;Counselors also provide comprehensive career decision-making services in the form of career counseling and career exploration. Academically, counselors assist students with navigating the complex landscape of higher education and provide practical and emotional support to academically struggling students. Through each of these services, students are given valuable tools to help them be successful and increase the retention and graduation rates at the college. The time frame of impact ranges from immediate (crisis intervention) to long-term (retention/graduation), depending on the nature of the services offered.&nbsp; If a problem should arise, the director of counseling would be called on to assist. If further assessment is warranted, community crisis services would be contacted for consultation.
Responsibility for Accuracy: If a Counselor did not possess job knowledge and skills to help students make informed decisions about personal, social, career, or academic areas, the student could be seriously harmed as well as the College.&nbsp; A lack of knowledge of crisis intervention techniques could in extreme instances result in the death of a student.&nbsp; Not being knowledgeable of program requirements and advising a student to register for inappropriate classes or misadvising about program/majors we offer would be errors with negative consequences. For verification purposes, we use consultation, documentation, and monthly reports to track services.

Position Summary: Overall purpose of this position is to ensure accurate administration and management of financial aid programs in compliance with federal, state and institutional regulations. Accountable for timely execution of federal, state and institutional funding for student and institutional budgets. Independently provide up-to-date subject matter expertise on federal student aid programs including Return to Title IV, Federal Student Loans, Parent Plus Loans, Alternative Loans, Federal and Instructional Work-study and the Student Aid Application (FAFSA) Data Verification Program to internal and external stakeholders in support of PSCC enrollment objectives and mission.
Essential Functions:
40% Administer Federal and State Student Aid programs, including but not limited to FAFSA applications; perform verification of all verifiable data elements of the FAFSA application; review FAFSA and student documents to resolve conflicting information; enter corrections to FAFSA through FAA and/or Banner; review keyed corrections thru Banner to ensure that all corrections have been made correctly; process federal student aid awards including but not limited to Federal Pell Grant, FSEOG, Federal Work Study and Federal Student Loans. Administer alternative loan program. Determine eligibility for State aid programs including but not limited to Tennessee Education Lottery Scholarships, (Hope, TN Promise, TN Reconnect,) and TSAA Tennessee Grants. Process timely certification files via FAST; Review and work eligibility reports; calculate, post, verify and reconcile awards. Process returns to Title IV aid related to post withdrawal disbursements, Pell Overpayments and returns of previously awarded Federal Student Aid per federally established guidelines. Notify students of any changes to their federal and/or State Aid eligibility during the term that result in adjustments to their PSCC student account.
15% Work with Common Origination Disbursement (COD), National Student Loan Data System (NSLDS), various loan lenders, and other applicable parties to resolve problems including student loan default, bankruptcies, SAR C codes, Fresh Start Loan Program. Assist the director/manager to review, analyze, interpret, and troubleshoot system COD extract and import reports to discern errors, identify problem with pells and loans, and take the appropriate action to correct them.&nbsp;
10% Monitor student continued eligibility based on aid retention requirement and administer appeals processes. Review satisfactory academic progress standards to determine continued eligibility for student aid. Review bench marks and enrollment requirements for continuation of eligibility for state aid programs. Facilitate and/or serve on appeal committee for SAP appeals and IRP for state aid appeals.
10% Review various reports to address issues related to student aid including but not limited to credit hour mismatch, over-award, multiple reporting, transfer monitoring, and reconciliation for Pell and loans
5% Remain current on all Federal, State and Institutional regulations and procedures; staying abreast of Federal, State and Institutional policies, rules and regulations pertaining to financial aid programs.
5% Provide support to the off-site campuses as needed. Utilize a holistic student focused approach to counsel, inform, and process student situations in person, virtually, and by phone, offering excellent customer service. Conduct events such as high school FAFSA nights, Financial Aid Days and Welcome day events.
5% Participate in on-going training/professional development in the following areas: financial aid, start strong center, admissions, registration, advising, and customer service.
5% Administer student scholarships. Accurately and timely post scholarships following institutional, state and federal guidelines.
5% Other duties as assigned to support PSCC Financial aid office, Admissions, start strong center, and/or any of the PSCC campuses.

Magnitude of Impact: The magnitude of student financial aid programs on PSCC is far reaching and can be caught within days or weeks. Almost every department and facet of a College depends on keeping Federal Student aid Title IV programs in compliance. A State or Federal audit finding in Financial aid programs could result in monetary fines to the college and jeopardize the continuing eligibility in the Student Financial Aid programs. Any issues will first be addressed by the financial aid supervisor/director. If necessary, the AVP will be involved. The AVP will always be kept abreast of any significant issues involving the program(s) this employee oversees.
Responsibility for Accuracy: It is most likely that an error would be caught. Errors will be found by daily automated reports via Banner, Argos or DegreeWorks. Coordinators are required to perform internal audits to verify accuracy. If errors are not caught in a timely manner, students could receive awards that they are not eligible for and could result in state and/or federal audit findings. These findings could result in fines to the school and possible loss of Title IV and/or State aid eligibility. In addition, if students do not have their money on their accounts in a timely manner and they are dependent on financial aid, they may not enroll, thus dropping PSCC enrollment numbers and affecting the schools budgetary income.
Judgement and Decisions: This position makes and is responsible for independent decisions related to the management and administration of Title IV federal student aid and TN State aid. They are responsible for and implementing any changes or updates with occasional consultation of the Financial Aid Manager or Director. Monitor enrollment changes to perform the calculations for return to Title IV processing.
Nature of Contacts: Provide or receive information from the internal and external entities in order to administer the program(s) effectively from a wide variety of areas: Advising, Student Account Services, Admissions and Records, Curriculum &amp; Instruction, Human Resources, Foundation, Deans, Program Coordinators, Faculty, Internal Audit, Academic Departments, Department of Ed., TBR, &amp; TSAC.

Job Summary: This is a grant-funded position that will manage and implement the relational advising efforts at the Hardin Valley and Blount County campuses of Pellissippi State. The position will supervise peer mentors who will provide supplemental support to specific student groups such as probation students and STEM majors. The position will also provide advising support for a caseload of business and general degree students at Blount and Hardin Valley.
Essential Functions:
30% Maintain a caseload of students for advising purposes in Business and General majors
20% Serve as a resource person for faculty and staff as needed; clarify student issues and work with students, other advisors, administrators, faculty, academic deans, Financial Aid, Admissions, Records and the site campus deans to reduce barriers to student success and completion for the identified student groups.
15% Supervise and hire peer advisors to work with the student groups involved in the relational advising model.
10% Develop reports and maintain data associated with the required outcomes for the relational advising model.

10% Serve on college wide committees and taskforces as requested by the Director.

The main responsibility of this position is to assist students with their success in college.&nbsp; One of the most important pieces to a successful college experience is an academic plan.&nbsp; Because the community college student has a unique set of characteristics when it comes to life and school, advisors need to be able to think through problems with scheduling and time management while helping students create viable pathways to reaching their higher education goals.&nbsp;
The person in this position will also need to be able to help students realize when the answer to a question may not be the answer the student wants. It is critically important that an advisor be willing and able to deliver unpleasant news in a diplomatic way.
As the enrollment for the college continues to grow the challenge of providing quality advising services with reduced funding will require all members of the college to think about new ways to empower the students and provide support for them on their educational journey. Measuring the effect of advising on completion and retention will be a critical component going forward. The question will be how and when to measure both outcomes, and how to utilize the data for future planning.
This position is also responsible for completing the mid-year and annual reports for the Grant. This includes being able to maintain data and explain the interventions and their outcomes.
Magnitude of Impact: The consequences that can occur if the person in this position does not have the knowledge to perform the job or does not use sound judgment will affect not only this department but other departments in the college and the students.&nbsp; Because this position involves all aspects of a student’s collegiate career the person must know policies, the degree programs, advising, articulation, transfer and many other areas in order to give good information and advice to the student, and need to be willing to find the information if it is not readily available.&nbsp; If this does not happen, then we have wasted the students’ time, money and energy.&nbsp; We have also wasted faculty time, created more work for other offices and damaged our reputation with other institutions and the community.&nbsp; Failure to use sound judgment in this position not only impacts the reputation of the individual, but also the college’s retention rate and student’s lives and futures; it diminishes confidence in the college’s programs and negatively impacts the integrity of the college’s academic offerings.

Job Summary: The role of the visual media coordinator is to support the college’s internal and external marketing efforts through the means of photography and videography, as well as coordinating all of the planning, scheduling, and writing required to produce various forms of media that will promote the college and support its brand. This position requires cataloguing and archiving media to maintain and sort the College’s visual media servers.
Essential Functions:
30% Use skills and knowledge of video production and editing to initiate, conceptualize, and produce video projects to promote Pellissippi State. Projects may include advertisements, academic program videos, testimonials, updates from the President and promotions of upcoming events, as well as video shorts and skits for social media. Must be able to tell a story through video and positively support the College’s image and goals. Responsible for all pre-production (pre-interviews, gathering information, transporting equipment), production (directing shoots, setting up lighting, composing shots, shooting footage, sound recording) and post-production (editing footage, designing and implementing graphics, selecting music, designing sound). Must be able to output to television and web applications.
30% Use skills and knowledge of photography to shoot still photographs to document the activities and events of the College; provide illustrative images to support news releases, ads, and publications; produce multimedia presentations as requested for use in events and speeches; provide daily photos for social media and web use; and capture the essence of the people, programs, and activities of the College. Responsible for editing photographs to make them ready for use by the college. Catalog and store all digital resources on media server in an organized fashion for archival purposes, and to make available for other college employees. Provide suggestions for media upon request. Talent scout, schedule, and communicate with subjects for photography and video shoots, and gathering bios and leads for potential stories and marketing materials.
10% Collaborates with others in the department to maintain assets and contribute to the College’s social media accounts. Produces, edits, and updates content that is newsworthy, relevant and engaging on a variety of platforms.
7.5% Supervise student employees (Federal Work Study, Student Employment&nbsp;&nbsp; Program, etc.) that are placed within visual media.

Complexity &amp; Creativity: 
The role of the visual media coordinator not only requires a broad technical knowledge of visual media, it also requires skills in multitasking, writing experience, communication skills, reliability and good organization. This position is responsible for providing all forms of visual media for marketing purposes, and photography often provides a basis for the development of projects within the department.
This position can regularly be expected to provide photography for events, take candid shots of students and college staff, interview photography subjects for social media or publications, edit photos, upload to the server, and be available for any other requests that may occur throughout the day.
For videography, this position is responsible for making self-contained video packages that will be used in various outlets to promote the college for the purpose of student recruitment and for promotion of its brand. When making a video package, the visual media coordinator is expected to provide a script, recruit talent, schedule shooting times, arrange locations, set up for shoots, direct talent while also filming, and then edit the footage into an effective product. The visual media coordinator will then make the video available either on social media or to vendors that will distribute the video on television or screens at venues. Audio packages are also produced in this position, for use on the radio or as sound bites in online ads.
This position is expected to provide both photography and videography, and as there are many events that require both, multitasking will be required in order to properly provide in both fields. The visual media coordinator is expected to take charge and coordinate shoots to get all elements of media that will properly capture the spirit of events, as well as day to day life at the college.
It is required that the coordinator properly adheres to the standards of guidelines of the college when creating his/her material, and established logos and graphics are to be added in as needed, so an awareness of the college’s brand is strongly required. This position is also expected to take the diverse community of the college into account when selecting photography and videography subjects. The college values diversity among its students, faculty and staff, and media produced by this position should be reflected as such with the subjects that are chosen.
Because this position is the primary supplier of assets for the College’s website, print materials and social media, excellent customer service is required with internal and external audiences. The visual media coordinator will collaborate with others in the department to measure the success of marketing campaigns and monitor feedback, responding appropriately as needed.&nbsp;

When the videos and photos are effective, they can translate into additional student enrollment, higher attendance for events, positive perception of the college and additional donor support. The position involves using visual media to assist in establishing and maintaining the College’s brand, which is an integral part of the College’s marketing strategy. If a problem should arise relating to this position, the department director would work to resolve it.
Responsibility for Accuracy: 
This position requires a high level of accuracy, a knowledge of how to maintain equipment, awareness of the college’s brand and procedures, and constant reliability pertaining to scheduling.
Errors made could include: Adding incorrect graphical information in videos, either in the form of wrong phone numbers, names, contact info, etc.
Improperly maintaining equipment that could result in damage and replacement.
Failing to show up to events due to scheduling errors.

The likelihood of errors getting caught it relatively high, although mistakes can still be made and materials can be sent to the public before they are properly identified, which makes it all the more important to have a good eye.
Financial Impact: This job is responsible for maintaining thousands of dollars’ worth of video and photography equipment, and is expected to protect them from theft and damage. Carelessness or negligence can result in requiring replacement or repair of equipment.
Budgetary: While there are no direct budgetary responsibilities expected of this position, there will oftentimes be props and equipment that are required to purchase. New gear and equipment are chosen largely under the direction of the visual media coordinator, upon approval.

Essential Functions:

25% Supervise the accounts receivable function of the college. Assign tasks to, train and review performance of two full time employees. Reconcile and monitor billing and collection processes for student tuition/fees, third party scholarships/contracts and general non-student receivables. Audit billing files and communicate with students, staff and the general public on receivables issues.
15% Monitor control settings and coordinate upgrading and management of the college’s cashiering software, Touchnet and Workforce &amp; Community Development cashiering software, Xenegrade. Verify feeds from cashiering software packages are received in the Banner system and deposits and reconciliations are performed accurately and timely. Ensure all college receipting functions are compliant with TBR, PSCC and Payment Card Industry-Data Security Standards regulations.
10% Perform database management of Banner Student AR rule and validation tables. Supervise the maintenance of detail code, third party contract, fee waiver and exemptions tables. Set up refund and fee assessment tables for each term. Perform testing with registration module to ensure accurate assessment of student tuition and fees.
10% Perform expunge of students for non-payment of fees from classes and oversee communication processes to students for fee payment deadlines and expunges. Coordinate with Financial Aid Director and Assistant Vice President of Enrollment Services dates for communications and messages and the execution of the expunge process.
5% Review and approve or deny student financial refund appeals. Counsel and assist students with the refund appeal process. Coordinate appeals and appeal decisions with Enrollment Services, Records, Counseling and Vice President of Academic Affairs.
5% Supervise the disbursement of student refunds due to students as a result of adjustments in tuition and fee charges or awarding of local, state or federal financial aid programs. Ensure funds are disbursed timely in accordance to federal and state regulations. Provide support to the Functional Support Technician during heavy refund periods and absences
5% Perform fiscal year end processes in Banner AR. Reconcile and code entries to clear accounts. Prepare fiscal year end reports.

Must accurately maintain tables for fee assessment and calculation of refunds for dropped classes for more than 15,000 student accounts annually.
Oversees the receipt of all monies by the college including: student payments, tuition and fee payments from third party contracts and outside scholarships of more than $18 million annually. The Student Account Services office also receipts all non-student payments to the college, including financial aid awards, Workforce &amp; Community Development revenue, monies received by the college’s foundation, grant awards, etc.
Supervises the refunding of around $10 million of student credit balances for tuition and fee adjustments due to withdrawal and federal, state and college financial aid awards.
Supervises the invoicing of delinquent student accounts and of non-student receivables owed to the college. This includes invoicing of over 1,000 individual student accounts per year to third party payers. Delinquent accounts must be turned over to an outside agency if not collected within parameters outlined by TBR policy, this position supervises the placement of around 500 accounts per year.
This position handles the sensitive area of monies with students.&nbsp; Efficient, accurate, timely, confidential processes to accept payments from the students and release excess financial aid payments to the students are very important to the student.&nbsp; When this position performs well, student retention is increased and goodwill is created in the community.
When this position performs well, funds due to the college are collected quickly with minimal fuss creating increased cash flow and no audit findings due to noncompliance.

This position handles the administration of the cashiering, e-bill, e-refund, payment plan, and payment gateway software systems.&nbsp; The systems have to be monitored, reported and reconciled daily.&nbsp; Knowledge of banking regulations will be required to determine appropriate settings at different times of the semester.&nbsp; This position must be able to identify when there is an operating problem immediately.&nbsp; (Example, on the last day to pay fees, credit card payments were continuing to be processed by the payment gateway but the payment transactions were not posting to student accounts in Banner Student.&nbsp; Student started to send multiple transactions against their credit card.&nbsp; This position must monitor for this type of problem and know how to recognize and correct this type of error immediately)
This position must be able to think creatively and evaluate current cashiering, accounts receivable and refunding processes to determine if a more efficient and effective method could be used. Staying current on emerging technologies in the payment field and new methods of communicating with students enhances the college’s perception amongst students as well as the ability to collect funds owed to the college.
Increasing federal and payment card industry rules and regulations regarding security and anti-fraud protection are complex and changing at a rapid pace. This position must follow these changes and be prepared to adjust procedures and work with Information Technology staff to ensure compliance with these changing rules.
This position must be able to troubleshoot and adjust procedures to address any problems with the functional side of the Banner Accounts Receivable module. Some examples include incorrect posting of student tuition and fees, issues with refunding, eRate calculations, student or third party contract invoicing, holds, etc. It also requires the ability to review Banner manuals and work with IT staff in order to change settings and processes in order to implement changes in state law, policies and procedures.
Magnitude of Impact:&nbsp;
The impact of decisions made while performing the processes leading up to, during and after the expunge of students for non-payment directly affect the college’s enrollment numbers and impacts the records, enrollment services, advising, financial aid and academic areas of the college. Students who are dropped often try to address any payment or financial aid issues that caused the expunge and then must see the advising and/or records office to be re-enrolled in their courses. It is critical to develop a clear and effective communication plan, to exercise good judgment while reviewing student accounts and to utilize coordination with other areas in the college to ensure student drops are handled appropriately and the college and students are not negatively impacted. Major problems in the expunge process that cause students to be dropped incorrectly or not dropped would require a plan to address from the Assistant Vice President, Vice President and possibly President level. Effects could be long term as it could lead to a lower student enrollment or an increase in receivables.
The billing and collection process is critical to keeping college receivables down and complying with TBR policies. Failure to properly invoice students and non-students could result in an increase in receivables, a decrease in revenue and possible audit findings for the college. Billing issues would be addressed by the Director of Fiscal Operations. Any audit findings would also involve the Vice President &amp; Assistant Vice President of Administrative Affairs and the President. Effects could be long term in relation to receivables.
Properly handling cash, credit cards and other payments ensure the collection of funds owed to the college and keeps the college in compliance with state, banking and payment card industry regulations. Failure to maintain proper checks and balances, cash handling and reconciling procedures, and credit card security could lead to loss of cash leading to receivables, audit findings, fines and negative publicity. Effects from problems could vary depending on the nature and magnitude of the failure and could be long term and involve addressing by the Assistant Vice President of Administrative Affairs, Vice President of Administrative Affairs and President.
Responsibility for Accuracy:
Typical errors could include errors in the data entry of cash deposits/payments to the college or an electronic payment to the bank that is not recorded. These errors are caught during monthly reconciliations and corrected. If not detected this type of error would result in a misstatement of the financial statements and audit findings.
Financial Impact: 
Inadequate monitoring and reconciling of cash, cash handling procedures and other cashier processes can result in the loss or theft of cash and audit findings.
This position must maintain procedures to process funds and collect receivables per state law and TBR policy or audit findings and a potential loss of collectable funds will result.
This position must monitor changes in the banking industry to ensure the college is compliant with current laws and regulations to avoid large fines, loss of charge-backs and other penalties.
Proper evaluation of student appeal request can correct registration errors or help a student who has had a critical, unexpected crisis in their life.&nbsp; Proper and timely response creates goodwill with students and their families/friends. Budgetary: 
This position has the ability to submit requisitions and requests for payment for the Student Account Services Office account. The employee is responsible for monitoring the budget and verifying expenditures for this account, which has an annual budget around $600,000.
This position also monitors/reconciles all revenue accounts which total over $80 million.
Nature of Contacts:
Providing and receiving information, discussing and seeking understanding of student account issues and resolving conflicts over student accounts and balances requires this position to work with almost every department in the college, including senior staff, as well as students, their families and outside companies. This position sits on several committees in the college and for the TBR and serves as the representative for Student Account Services. 25% Answer phone and/or emails to collect pertinent information from external clients/potential customers to assist in scheduling external rentals for the college’s facilities on four campuses. Provide preliminary information on the details and amenities of requested locations, referring to Event Services for assistance as needed. Collect facility usage applications and upload the initial request in the college’s scheduling software, 25Live.
In conjunction with Event Services, communicate approval of request by sending email detailing arrangements made on behalf of the group/event and estimated costs in an official confirmation of the reservation.
Communicate via email request denials to client, along with an explanation for the reason as it pertains to policies and procedures.
10% Provide customer service in Workforce &amp; Community Development for prospective non-credit students, community members, businesses and industry.
10% Take registration and payment information and process credit card transactions for individuals requesting that assistance in registering for WCD classes. Assist in confirming registrations and payments for third-party online course vendors as needed. Provide receipts or special information as requested by student. In the rental registration role of this position, this individual will communicate directly with clients who use college facilities for a myriad of both public and private events, and therefore the decisions/actions of the person in this position influences the College’s success. If a customer has a bad experience with any of the above, the College’s reputation within the community could be in jeopardy; revenue could be lost due to errors.
Responsibility for Accuracy: Typical errors could include mistakes made in posting student registrations or payments, incorrectly billing or posting of facility payments, or omission of an event to be placed in the room scheduling software or for invoicing. Nature of Contacts:
-Academic department heads: To seek approval for specific facility usage or input on facility requests received.
-Accounting department: Regarding invoices or billing issues.
-Facilities staff: To make special requests or check status on services.
-Procurement Services staff: To submit purchase orders, to inquire of procedures, request update on status of outstanding orders.
-Student Account Services staff: To deposit monies collected for classes or facility rentals.
-Marketing and Communications: Support for WCD newsletter &amp; social media posts.
-Human Resources: Instructor contract coordination.
-Campus Police staff and supervisors: To distribute facility usage information and work with Event Services to coordinate special security requests.
-Credit students attending Pellissippi State: Often necessary to give information regarding local campus and site campuses, give directions around buildings/campuses, refer students to appropriate departments for further action/services, and assist in finding/providing faculty contact information and office locations.
-Citizens living locally and long distance: Provide information regarding continuing education/non-credit course offerings and take registrations, payments and cancellations for those classes.
-Officials/dignitaries from the community or their staff, government agency personnel, community groups and church organizations: Provide information on facility usage options, rental policies, procedures and availability.
Judgement and Decisions:&nbsp;
This position is responsible for the initial application for rentals of college facilities by outside organizations collecting pertinent information to assist in scheduling external rentals for the college’s facilities on four campuses. Provides client with preliminary information on the details and amenities of requested locations and then refers to Event Services for further coordination and resource assistance. This individual will collect facility usage applications and upload the initial request in the college’s scheduling software, 25Live. In conjunction with Event Services, communicate approval of request by sending email detailing arrangements made on behalf of the group/event and estimated costs in an official confirmation of the reservation. Also communicate via email request denials to client, along with an explanation for the reason as it pertains to policies and procedures. The monthly rental invoicing is also handled by this individual.
This position also provides administrative/clerical support to directors in the WCD department working closely with the team in scheduling classes, reserving class locations, assisting students with registration, preparing instructor contracts, and invoicing for classes.
Requires ability to occasionally resolve issues that may arise when department manager/s are not accessible. must have ability to use judgment and discretion in order to respect client’s need and/or expectation of confidentiality in certain situations.
Physical Demands:&nbsp;
This position requires the ability to maneuver around campus frequently on a daily basis in order to do business with other departments, run errands, check mail, make deposits, etc. While the position is based at Hardin Valley, there may be infrequent travel to the other PSCC campuses.
There is only occasionally a need to lift boxes or equipment up to 25 pounds or more during the course of an average work day for distributing advertising materials/course schedules, class-related materials, and office supplies. The ability to sit for long periods as this position requires using a computer for long stretches of time.

Job Purpose:&nbsp;This Information Processing Specialist for Senators Central is cross trained to assist and advise students in areas of financial aid, admissions/enrollment services, cashiering services, student success and related student services areas. This position is responsible for providing a comprehensive suite of services to students and their families to support students through the enrollment life cycle. The Information Processing Specialist utilizes a variety of software systems and technical programs and has a deep understanding of financial aid and admissions rules, regulations, and institutional, state, and federal guidelines and policies.
Essential Job Functions:
<ul>
<li>Assist and counsel students in reference to all areas of financial aid to include all student financial aid offers and balances of aid, withdrawal procedures and the consequences for satisfactory progress, the appeal process, repayment of aid, professional judgment, applying policies and procedures for all programs. Understand and implement the rules and regulations of federal, state, institutional, foundation, and agency financial aid to include approximately 17 different awards that apply additional rules to various types of aid. Receive, review, and organize required supporting documents, copy, scan and index into BDMS. Assist students with financial account such as: tuition and fees balances, deadlines, payment options, fee-waiver/discount forms. Calculate balances due, authorized aid and other third-party payments. Refer students to EOC representative for professional FAFSA filing assistance. Document student interactions in Banner and/or Slate.</li>
<li>Advise and assist students with all aspects of the enrollment process for the student lifecycle, including admissions and enrollment processes for new, readmitted, transfer, transient and continuing students, schedule appointments for campus services and campus visits/tours, assist with submitting enrollment related forms, resolution of holds and directing students to additional support services. Access, analyze and correctly interpret information in Banner to provide a holistic review and assistance with admissions, student accounts, records, and financial aid to provide direct recommendations and resolution. Review, receive, document and scan (as required). Responsible for documenting all student interactions in Banner and/or Slate.</li>
<li>Provide cashier and business services, as well as information relative to student financial accounts such as, tuition and fees balances, deadlines, collection agency payments, payment options, fee waiver/discount forms, calculate balances due, deduct fee waivers, authorized aid, and other third-party payments. Receipt and post payments in TouchNet, prepare and make deposits, maintain Accounts Payable petty cash for vouchers, disbursements and purchase card check outs, reconcile and balance accounts at end-of-day, prepare reports and forward to the WSCC Morristown Business Office. Communicate repayment of past due accounts and citations with WSCC Morristown Cashier’s office, as appropriate, to remove any holds. Coordinate, communicate, and obtain support and guidance as needed from the Main WSCC Cashier’s Office. Keep confidential and sensitive information secure.&nbsp;</li>
<li>Answer departmental phones, monitor and respond to department email and text messaging and assist with call, email and text communication campaigns as assigned. Record all student interactions and communication in Banner and/or Slate. Assist with enrollment development and recruitment initiatives, as needed.</li>
