Member of the Payables Team reporting to the Associate Director of Finance. Performs a diverse range of fiscal and administrative duties for the Finance Office of Harvard Graduate School of Education. Works and communicates with a wide range of clients to foster effective working relationships, policies and procedures. Works with the whole array of accounts and funding sources regarding all payables. Responsible for performing audits to ensure accuracy and compliance with internal and external regulations. Works independently as well as collaboratively in selecting and applying established fiscal procedures appropriately.
• Review and approve all Reimbursement and Corporate Card Concur expense reports according to University and IRS policies.
• Review and approve all Travel Reimbursements via B2P for staff and faculty and B2P for non-employee reimbursements.
• Monitor school travel for compliance and risk, stay current with University travel initiatives and polices
• Manage and administer the Payables business processes and transactions for the School. Serve as backup for the Payables coordinator in the processing of transactions including Suppliers setup, vendor payment B2P, Concur P-Card approval, credit vouchers and providing customer service.
• Establishes and manages accounting record keeping systems for all GSE payables transactions and procedures for tracking and reporting, including guidance, oversight and remediation for GSE.
• Running and interpreting reports for diverse projects, assisting staff in reconciling accounts and making compliant purchases. May include transaction creation for departments experiencing staffing difficulties.
• Work with staff and faculty to prepare for audits and to institute remedial measures where necessary. Coordinate these responsibilities with Analysis Team and central Risk Management as needed; ensure ongoing compliance with policies and procedures of Tax Services, Travel and Reimbursement, Accounts Payable, Office of Sponsored Research and FLSA regulations.
• Participate in the management and implementation school training initiatives, efforts and policies pertaining to Financial Applications for new and existing employees.
• Meet the challenges posed by administrative staff turnover and change to ensure that departments and projects have appropriate, proactive and, if necessary, rapid-response training as required. Design and write customized training instruments for GSE.
• Serve as GSE liaison with Dean's Travel Board, Office of the General Counsel, Tax Services, Procurement Services and Risk Management on payables issues. Assume a proactive and timely role in assisting and resolving questions regarding these areas of responsibility.
Required: Minimum of 3 years previous accounts payable/accounts receivable experience. Knowledge of basic accounting principles. Proficiency in Word & Excel.

Additional Qualifications and Skills
Experience with Harvard financial systems preferred. Ability to meet deadlines, excellent organizational skills and strong attention to detail are a must. Ability to manage multiple priorities in a busy service-oriented office. Ability to work both as part of a team as well as independently. Strong customer service focus.
