The Associate Director, Research Administration, Research Planning (AD) is a member of a cross-functional team supporting a wide range of research programs and activities for the Harvard Business School (HBS) faculty and its governance. The team is comprised of administrative staff in a variety of faculty research, administration, resource allocation, and development support roles. As part of this team, the AD’s focus is ensuring that HBS faculty receive the highest level of support in pursuit of their research agendas. The AD develops and leverages a deep understanding of faculty research at both a micro-level (i.e., the needs of individual faculty) and macro-level (i.e., the needs of the overall HBS research community), extrapolating themes across faculty requests and helping the team identify trends. They provide information about available resources, guidelines, policies, and procedures to help faculty navigate the overall research landscape to the faculty. The AD communicates recommendations to relevant parties including the Executive Director, DRFD, and Senior Associate Deans for Faculty Development and Research (SADs).
Working in partnership with the Senior Associate Director, Research Funding, and other members of the research support team, the AD interacts with the faculty and senior management in the DRFD, as well as the (SADs), and is responsible for facilitating the planning process for over 300 individual faculty. emeriti research budgets, and Special Research Project budgets totaling roughly $20M.
Reporting to the Director, Research Administration and working closely with members of the Research Administration team, HBS faculty, the SADs and administrative partners in DRFD and across HBS, the AD’s primary responsibilities include:
Research Planning Process:
- Facilitates the annual and supplemental research planning processes for individual faculty research budgets, special/multi-faculty research projects and Institute-based research (e.g., D^3 and BiGS).
- Works with partners in Business Operations and RSS to ensure that the processes are completed in a timely manner so that faculty resource needs and HBS budgeting requirements are met.
- Reviews annual planning form submissions and considers each research plan and the requested resources in conjunction with other research-related requests; determines where there are gaps in information or understanding and works directly with individual faculty as needed to develop a complete picture of each faculty member’s needs. Reviews supplemental requests following process to insure fairness and compliance. Ensures full reporting by faculty on the planning forms.
- Articulates faculty research needs for faculty governance and administrators, and how needs can be fulfilled.
- Coordinates the development of materials for the SADs meetings and presentations.
- Oversees all process logistics including communication and outreach to faculty and administrative partners ensuring the highest level of support for faculty on all aspects of the processes and the timely and successful completion of the process.
- Advises faculty and their administrative leads on HBS faculty research budget policies, expense policies, and procedures; serves as a trusted advisor and a resource faculty.
- Meets with new faculty as part of their onboarding to understand their research and research needs. Provides guidance on resources available and the process to obtain resources and funding.
- Stays current on HBS faculty research, proactively collecting and analyzing data to identify trends and opportunities; brings focus to strategic issues; and provides context for related faculty discussion.
- Highlights connections and patterns across faculty research needs, and across administrative research support processes.
- Acts as a “hub” of information, gathering data from faculty and other sources, analyzing that data and determining where there are gaps at both micro- and macro-levels. Disseminates data and analysis to governance, administrators, and service providers.
- Prepares and delivers summaries, reports, and presentations regarding research planning, projects, and initiatives, for SADs, DRFD administrators, and others.
- Maintains detailed logs of faculty consultations in Research Administration’s QuickBase tracking system.
- Facilitates connections between faculty needs and the DRFD, HBS administration, and Harvard, serving as a liaison in all directions to enhance understanding of existing and emerging research activities and how best to support them.
- Ensures the needs of the faculty and other partners across HBS are met through the services provided.
- Provides senior level staff support to the MD, DRFD and RIO, the Director, RA and other DRFD administrators on a broad range of research administration matters.
- Advises on strategic and operational issues.
- Executes projects and decisions.
- Assists in the development of policies and practice guidelines, and in their application to specific situations.
- Contributes to overarching strategies and approaches; focuses on problem resolution, process improvement, and programmatic innovation.
- Supports ad hoc projects related to the development, management, and dissemination of intellectual capital.
- Partners with colleagues within research administration in the creation, maintenance, and reporting of faculty research output data.
- Bachelor's degree required
- 7+ years of relevant work experience in a role primarily focused on research support required

- The AD is an effective verbal and written communication the ability to communicate with a diverse group of people with sensitivity.
- An analytical thinker, the AD understands the terrain of contemporary business research and its audiences and can navigate a complex environment with a quickly changing landscape, often with competing priorities.
- The AD is agile, with an appreciation for the significance of diversity in research and academia and is flexible in a hybrid environment.

- An understanding of and ability to manage confidential information.
- Ability to take initiative and work independently with an entrepreneurial spirit, flexibility, and high capacity to assess priorities and to meet competing deadlines.

- Takes initiative and ownership of work, following through to completion and executing with an appropriate sense of urgency.
This role is offered as a hybrid (some combination of onsite and remote) where you are required to be onsite at our Boston, MA based campus 3 days per week. Specific days and schedule will be determined between you and your manager.
